The Club Email Problem Nobody Seems To Be Solving

Sometimes the best ideas don’t come from looking for business opportunities.

They come from being frustrated by something that should be simple.

This was one of those moments.

As a volunteer involved in running a club, I experienced first-hand a problem that many committees, societies and community groups are probably quietly dealing with.

We needed a simple way for authorised committee members to communicate with members.

Not a marketing platform.

Not a newsletter system.

It sounded like a simple problem.

It wasn’t.

When Email Stopped Being Simple

For years, clubs have relied on simple email addresses:

The idea was straightforward.

A committee member sends an email, and the relevant people receive it.

It worked.

Until it didn’t.

Modern email providers have become much stricter about security, authentication and spam prevention. These changes are necessary, but they have also created challenges for organisations that are not businesses with dedicated IT teams.

Messages that previously worked can now be rejected, filtered or simply fail to reach everyone.

For a volunteer-run organisation, this creates a frustrating situation.

The people sending the emails haven’t changed.

The purpose of the emails hasn’t changed.

But the technology underneath has.

The Search For A Solution

So I started looking.

Surely someone had already solved this?

I searched.

I researched.

I looked at mailing list software.

I looked at email platforms.

I looked at newsletter services.

And that was where I kept ending up.

Newsletter platforms.

Every search seemed to assume the problem was:

“How do we send professional newsletters?”

That wasn’t my problem.

I didn’t need templates.

I didn’t need marketing automation.

I didn’t need subscriber campaigns.

I didn’t need open rates and click tracking.

I needed:

“A committee member sends an email from their normal email account, and it reliably reaches the right group of people.”

That was it.

The more I looked, the more people seemed to suggest that the old way of doing things was finished.

Shared group emails were outdated.

Mailing lists were unreliable.

The answer was apparently to move everything to a newsletter platform.

But that wasn’t what clubs needed.

The Reality Of Volunteer Organisations

Most clubs and community groups are not trying to become publishers.

They are trying to organise activities.

They are trying to keep members informed.

They are trying to run events.

They are trying to get volunteers to show up and help.

The committee members are usually volunteers giving their time.

They don’t want another system to manage.

They don’t want another login.

They don’t want another piece of software they have to learn.

They want communication to be easy.

WhatsApp Is Great — But It Isn’t Everything

Of course, WhatsApp has transformed communication for clubs.

And rightly so.

For many situations, it is brilliant.

Quick updates.

Informal conversations.

Last-minute changes.

Group discussions.

But it isn’t suitable for everything.

Some communications need to feel more official.

Some announcements need to reach everyone.

Some messages need a clear record.

Some members prefer email.

Sometimes you need both.

If It Didn’t Exist, Maybe It Needed To Be Built

Eventually I reached the conclusion that if the solution didn’t exist, and I had genuinely searched everywhere I could think of, then perhaps the problem was that someone needed to build it.

So that is what we did.

• Permissions can be controlled

The important part is that committee members don’t need to change how they work.

The Bigger Lesson

This experience reminded me of something I often see when helping small organisations and businesses.

Sometimes the best solutions are not about adding more technology.

They are about removing friction.

The question isn’t always:

“What amazing new tool can we introduce?”

Sometimes it is:

“Why has something that should be simple become complicated?”
